OnCore: Implementation Timeline and Milestones

To ensure a smooth transition to OnCore, the system will be implemented in phases. Below are the key phases:

Phase 1: Training and Preparation

  • On-demand training courses are available through Advarra University (opens new window) covering various aspects of OnCore functionality and best practices. The OnCore team will assign required training modules, track progress, provide live training, and create/activate user accounts.
  • End-users are encouraged to engage with the OnCore team (OnCoreSupport@med.uvm.edu) to discuss their roles, workflow implications, and any specific training needs.
    Introductory demos and overviews are accessible to familiarize users with the system's user interface and core features.

Phase 2: Pilot Study Builds

  • A select group of pilot studies have been built within the OnCore system, marking the system’s "Production Ready" state.
  • Pilot study builds serve as a testing ground and allow for refinement of processes before the broader rollout.
  • The Pilot phase also provides lessons-learned in many areas such as training procedures and requirements, existing system configurations, and insights into scalability factors. 

Phase 3: Department/Center-Specific Go-Live

  • Following the successful pilot phase, OnCore will be implemented strategically across different departments and centers within the institution.
  • Study builds have commenced for Cancer Center trials, followed by studies managed by OCTR, CRC, and Vaccine Testing Center.
  • Dedicated support and resources will be available to facilitate a smooth transition for each department or center.
